Operations Manager

SAN ANTONIO, TX

SUMMARY: Reports to the Project Director of Youth Rural Program, the primary function of this position will involve a variety of program management and administrative tasks. This position helps in planning and organizing programs and activities as well as performing important operational duties. The Operations Role plays a crucial role in driving the organization efficiency and overall success by overseeing day-to-day operations, optimizing processes, managing resources, and leading the team to success.

Job Description Highlights:

Overall Responsibility: Oversee and manage the day-to-day operations of a company or department.

  • Key Responsibilities:
    • Operational Planning and Strategy: Develop and implement strategies to improve efficiency, reduce costs, and enhance productivity.
    • Resource Management: assist with managing the WIOA Youth budget, allocate resources (personnel, equipment, etc.), and ensure efficient utilization.
    • Process Optimization: Analyze and improve existing processes to eliminate bottlenecks, reduce waste, and streamline workflows.
    • Quality Control: Implement and maintain quality assurance programs to ensure products or services meet required standards.
    • Team Leadership: Lead, motivate, and supervise teams to achieve organizational goals.
    • Compliance and Safety: Ensure compliance with relevant regulations, safety standards, and ethical guidelines.
    • Customer Relations: Manage customer interactions and ensure customer satisfaction.
    • Data Analysis: Use data and metrics to track performance, identify areas for improvement, and make data-driven decisions.

    • Manage and assist with compliance and monitoring of program operations in accordance with State and Federal WIOA regulations.
    • Manage and assist with evaluation program effectiveness, investigate trends, and recommend and implement modifications to improve program effectiveness.
    • Prepare required and supplemental programmatic reports as needed.
    • Schedule and organize meetings.
    • Exhibit Professionalism, diplomacy, and ability to appropriate interact with staff, participants, employers, and local stakeholders while maintaining working relationships in all aspects.
    • Conduct coaching sessions and schedule professional development, fostering learning and continuous improvement of mindset amongst staff.
    • Assist Director in developing and ensuring proper implementation of WIOA Youth related procedures, processes, and services.
    • Provide administrative support to the Director, organizing and managing project-specific tasks and special projects.
    • Assist with the development and evaluation of procurement planning and audit preparation.
    • Ensure technology is used correctly for all operations (data management, information sharing, video conferencing, presentations, etc.)
    • Assist Director in developing and ensuring proper implementation of WIOA Youth related procedures, processes, and services.

Experience in Cost Reduction by eliminating inefficiencies that can result in significant cost savings.

Experience with Better Customer Service Satisfaction

Proficient in Microsoft Windows environments, including Outlook, Excel, Word, PowerPoint, Adobe PDF and demonstrated skills in database management and record keeping.
